AI Workflows
AI workflows often feel fastest during the impressive part—the generated summary, draft, or classification. The hidden cost appears before and after: sanitizing inputs, correcting confident mistakes, restoring formatting, comparing against sources, and explaining a strange result. A short weekly review makes those costs visible. Use it after choosing one of the practical automation candidates for solo consultants.
Choose one workflow to review
Do not audit every AI use at once. Pick one repeated task, such as proposal outlining, meeting-note cleanup, email classification, research organization, or drafting a project update. Write down what starts the workflow and what counts as finished.
A clear boundary might be: “From approved notes to a checked action list saved in the project system.” This includes human verification and filing; it does not stop when the model returns text.
Capture five simple measures
- Volume: How many times did you run the workflow?
- Total time: Include preparation, prompting, waiting, checking, correction, and transfer.
- Rework: How many outputs needed a meaningful correction?
- Exceptions: Which inputs did not fit the expected pattern?
- Risk events: Did sensitive information, the wrong recipient, an unsupported claim, or an unwanted action enter the process?
Approximate numbers are useful if you collect them consistently. A small note beside each use is more reliable than reconstructing the week from memory.
Compare against the old method
Use two or three representative tasks and complete them without the AI step. Compare total time and quality, not typing speed. If the workflow saves six minutes in drafting but adds eight minutes of verification, it has not saved time.
Also compare cognitive effort. A process may be worthwhile when it removes repetitive organization even if the clock difference is modest. Conversely, constant vigilance against subtle errors can make a fast-looking workflow exhausting. If review cost remains unclear, repeat the structured five-input tool test.
Classify every correction
Put corrections into four groups: missing information, invented information, misunderstood instruction, and formatting or tone. Repeated errors usually call for a process change rather than a longer prompt.
Missing information may require a better intake form. Invented information may require source-grounded output and stricter review. Misunderstood instructions may mean the task is too broad. Formatting errors may be cheaper to fix with a template outside the AI tool.
Review permissions and data
Check what information entered the workflow during the week. Remove unnecessary files and disconnected projects. Confirm that training, retention, sharing, and integration settings remain as expected. Product interfaces and defaults can change.
If a workflow gradually attracts more sensitive material, move it back to synthetic or sanitized input until the operating boundary is reviewed.
Make one decision
End each review with one of five decisions: keep, narrow, improve, pause, or retire. Avoid a vague promise to “use it better.” Name one change and the condition that will show whether it helped.
- Keep: The workflow is reliable, bounded, and worth its total cost.
- Narrow: It works for common cases but should reject or escalate exceptions.
- Improve: Change one input, instruction, template, or review step and test again.
- Pause: A privacy, reliability, or ownership question needs resolution.
- Retire: The previous method is simpler, safer, or cheaper.
A 30-minute Friday routine
- Five minutes: count uses and total approximate time.
- Five minutes: list corrections and exceptions.
- Five minutes: inspect information and permissions.
- Five minutes: compare one task with the old method.
- Five minutes: choose keep, narrow, improve, pause, or retire.
- Five minutes: document the one change for next week.
A workflow earns its place when it improves the whole job repeatedly, not when it produces an occasional impressive answer. Weekly review keeps experimentation cheap and prevents a temporary shortcut from becoming an invisible dependency.
